RACE RULES

It's always good to agree on the rules of the game up front. By taking part in the Gelreman you declare that you have read these rules and accept the conditions. This is a translation for your convenience; in the event of any discrepancy the Dutch text prevails.

DISTANCES & TIME LIMITS

Full Distance

3.8 km swimming, 180 km cycling and 42.2 km running. The maximum race duration is 15 hours. These time limits apply to the individual legs:

De Eigenwijze

De Eigenwijze is a half distance with 45 km more cycling: 1.9 km swimming, 135 km cycling and 21.1 km running. So you ride one extra 45 km lap compared with the Half Distance. The maximum race duration is 10 hours. These time limits apply to the individual legs:

Half Distance

1.9 km swimming, 90 km cycling and 21.1 km running. The maximum race duration is 8 hours and 15 minutes. These time limits apply to the individual legs:

Quarter Distance

1 km swimming, 45 km cycling and 10 km running. The maximum race duration is 4 hours. These time limits apply to the individual legs:

Exceeding the time limits

If you exceed the limits above (for all distances), it is up to the race management to decide whether you may continue or must stop. The time limits are there for your safety and well-being, but also for that of other participants, volunteers and partners. Where possible we apply them flexibly.

The finishing time of 22:00 is strictly enforced. That gives our volunteers, who will have been on their feet for a long time and in some cases are back at work on Sunday, a clear end time to aim for, so they can recover and rest afterwards.

PARTICIPATION

Minimum age

The minimum age on race day is 18, for all distances. You can submit a request for an exception to the organisation, with written consent from a parent or guardian. We cannot guarantee in advance that we will agree.

Identification

When you register we'd like to be sure who you are and how old you are ;-). Bring a valid ID, and your race licence if you have one.

Medical fitness

By registering you declare that you are physically and mentally able to take part in the Gelreman and that you have no medical conditions that would make your participation irresponsible. If in doubt, it is your own responsibility to consult a doctor. Does your medical situation involve a higher than average medical risk? Please state this on the registration form and we will discuss it with you.

Insurance

You are responsible for having adequate health and/or accident insurance that covers participation in (endurance) sports events such as this triathlon.

CANCELLATION & TRANSFER

Cancelling

We assume that everyone who registers will actually start, and we plan the event accordingly. For example, we order shirts and goodies and base the size of the tent and the number of bike racks on the number of entries. That costs money, which is why we cannot refund the full entry fee if you cancel. We use this scale:

  • Up to and including 31 March 2027: €200 (Full Distance), €100 (Half Distance and De Eigenwijze) and €50 (Quarter Distance)
  • 1 April to 31 May 2027 inclusive: €100 (Full Distance), €50 (Half Distance and De Eigenwijze) and €25 (Quarter Distance)
  • 1 June to 8 August 2027 inclusive: €50 (Full Distance), €25 (Half Distance and De Eigenwijze) and €12.50 (Quarter Distance)
  • After 8 August 2027: €10 for all distances, as an encouragement to still let us know

Not bothered about the €10? Please cancel anyway, so our volunteers don't prepare for a participant who isn't coming.

Switching to another distance

You can switch to another distance up to and including 31 July. If you switch to a longer distance, you pay the price difference plus €15 for the change. Switching to a shorter distance is also possible, but without a refund: that income has already been budgeted for and spent.

Transferring your entry

You can transfer your entry to someone else via your dashboard on Njuko. We charge €15 in administration fees for this. Transfers are possible up to and including 15 July. After that it is no longer possible, partly because of the stickers and race numbers printed with your name.

How a transfer works

You find someone who wants to take over your entry yourself. You arrange the transfer via your dashboard on Njuko.

Because we have to order the finisher shirts in time, for transfers after 1 June the new participant receives the shirt in the size of the original registration. If that isn't the right size and we still happen to have the right size in stock, you're in luck ;-).

Any hoodies, caps and bags ordered will be ready for everyone on race day. These cannot be refunded.

Only race under your own name

Participants without an entry registered in their own name via Njuko cannot start or will be removed from the race. This is mainly for safety: we need to know who is on the course, with what medical situation, expected times and so on. Besides, it suits the Gelreman atmosphere to be cheered on by your own name. Much more fun :-)!

RACE RULES

NTB rules

Our rules are based on the rules of the Dutch triathlon federation (NTB).

No littering

There is a litter zone at every aid station where you can drop your rubbish. Litter simply doesn't belong on the ground. The penalty for a first observed offence is a 5-minute stop; a second offence means disqualification.

No drafting

We don't draft: you don't ride in someone else's slipstream. Here too, the penalty for a first observed offence is a 5-minute stop; a second offence means disqualification.

Volunteers and race management will be keeping a close eye on this at the next edition. Great that together we keep the surroundings clean and all ride in the wind. We are triathletes, after all :-)!

No headphones

Headphones and earbuds are not allowed during the race. You must always be able to hear instructions from traffic marshals, officials and other traffic.

Traffic and traffic marshals

In consultation with the municipalities we try to make the course as low-traffic or even traffic-free as possible. Normal traffic rules always apply and you must follow them. Always follow the instructions of traffic marshals: they look after your safety. Not following instructions can lead to disqualification.

Returning your chip

Your chip is on loan and must be handed back after the finish. If you don't return it, you owe €75 to cover the cost of the loss. Returning it is your own responsibility, although our volunteers will of course help and remind you as much as possible.

LIABILITY & SAFETY

Participation at your own risk

As a participant you are aware that taking part in the Gelreman requires physical and mental effort and may involve risks. You take part at your own risk and accept full responsibility for all risks arising from participation, including (but not limited to) injuries, accidents, illness, loss or theft of property, and damage to third parties.

Indemnity

You indemnify the Gelreman organisation, its board, staff, volunteers, sponsors, partners and other parties involved against any liability for damage or injury you suffer during or as a result of taking part in the event, unless there is intent or gross negligence. This indemnity also applies to damage arising during training, course reconnaissance or stays at the venue in the run-up to or after the event.

Medical assistance

Medical assistance is available until 16:30 at the latest on the bike course and until 22:00 on the run course. See also the time limits above.

Being stopped

If the race management decides that you must stop racing for your own safety and/or well-being, or that of other participants and volunteers, you must comply. The race management, triathletes themselves, will of course weigh up the values of the race: safety, professionalism, inclusiveness, atmosphere, attention and sustainability.

OTHER

Photos and videos

You agree that the organisation may use photos and videos taken during the event in which you are recognisable for promotional purposes, without you receiving any payment. We also make the photos available free of charge for participants' personal use. For commercial use, please contact the organisation and/or the photographer.

Force majeure and cancellation

If the event is cancelled or parts of it are changed due to force majeure (such as weather conditions, emergencies, government measures or other circumstances beyond the organisation's control), you are not entitled to a refund of the entry fee or compensation for costs incurred, because in these situations too most of the costs have already been made.

Privacy

When you register you share some personal data. We handle it with care and do not simply share it with third parties.

Changes

As an organisation we may need to make changes, in line with our core values, to keep the race safe and enjoyable or to make it even safer, more enjoyable and more inclusive. If we make such changes, registered participants will be informed in good time. We will of course handle this carefully. By registering, we therefore ask for some flexibility with changes made after your registration.

Finally: these rules also serve as our general terms and conditions. In cases not covered by these rules, the organisation decides. We organise a triathlon by and for triathletes and do everything we can to make it a top event!
